How to make a invoice in one minute
- Three sample lines are prefilled: regular visits, a deep clean add-on and supplies. Replace each Description, Qty (the number of visits), Unit and Rate with your own.
- Fill in From with your business and Bill to with the homeowner, landlord or office manager. Type where you cleaned in the Service address field.
- Set Invoice number and Date, then choose Net 7 under Terms to match the prefilled terms.
- Under Totals, add a Tax line if cleaning services are taxed where you work, and enter anything already paid in Amount paid.
- Edit the Notes (next visit day and time), add Payment details and press Download PDF.
How to invoice for cleaning
Residential cleaners bill per visit or per hour, and the sample uses visits: a regular clean of a three-bedroom home, weekly, four visits in the month at 120 each, with visits as the unit. Commercial or janitorial contracts usually bill monthly instead, with one line per site or per month. Either way, the description should say what a visit covers and how often it happens, so the customer can check the count against their calendar.
Add-ons go on their own lines so the regular rate stays stable. The sample’s second line is a deep clean of the oven and inside windows at 95. Carpets, fridges and move-out cleans work the same way: a separate line with its own price, rather than a higher rate for that week.
Supplies can be included in the rate or itemised, and the Notes should say which. The sample itemises them at 18. If your rate includes products, delete that line and mention it in Notes; if the customer provides their own, say so in the description.
The Service address field prints above the line items. It matters for landlords, property managers and offices, where the person paying is not at the address you cleaned. The prefilled Notes read “Service address: as billed. Next visit: Tuesday 9 am.” Change the first part when the addresses differ, and keep the next-visit line, which customers appreciate.
Short terms are normal for small recurring services. The prefilled terms ask for payment within 7 days and state that cancellations with less than 24 hours notice are billed at 50%. Choose Net 7 under Terms and the Due date follows.
What the cleaning invoice template prefills
A per-visit line, an add-on line and a supplies line with quantities and rates, a Service address field, a next-visit note and 7-day terms with a cancellation clause. Your business details, the customer, any tax line and payment details are yours to add. Keep visits as the unit on the regular line so the count is obvious.
Your data stays on your device
Customer addresses, visit schedules and rates stay in this browser; nothing is sent to a server. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions
Should I charge per visit or per hour?
Residential cleaners usually bill per visit, as the sample does with four weekly visits at 120, because the customer knows the price before you arrive. Hourly suits first visits or homes that vary a lot; change the unit to hrs and the quantity to hours. Commercial contracts are usually billed monthly with one line per site.
Should supplies be a separate line?
Either include them in the visit rate or itemise them, but say which in Notes so the customer is not surprised. The sample itemises supplies at 18 on their own line. If you include them, delete that line and keep the visit rate; if a customer supplies their own products, say so in the description.
Do I charge sales tax on cleaning?
It depends on the state or country; some tax cleaning services, some do not, and some tax supplies differently. Add a Tax line under Totals if you are registered and tick it on the lines it applies to, since each line has a checkbox per tax. Confirm current rules with your tax authority.
How do I invoice a landlord with several properties?
Put the landlord in Bill to and the property you cleaned in the Service address field, which prints above the line items. Send one invoice per property, or one invoice with a line per property, each description naming the address. Duplicate makes the second invoice from the first with the next number.
Can I reuse the invoice every week or month?
Yes. Save as template keeps your rates, add-ons and terms for New from template. Each month, open the previous invoice from Recent documents and press Duplicate: you get the next number and today's date, then update the visit count and the next-visit note. Press Mark as paid when the money arrives.
What about cancellations and late payment?
The prefilled terms ask for payment within 7 days and say cancellations with less than 24 hours notice are billed at 50%. Short terms suit small recurring services. Put a cancelled visit on its own line at half the rate with the date in the description, so the customer sees exactly what it is.
