How to make a invoice in one minute

  1. Choose Canada under Country preset, then pick your Province or territory. The editor loads GST 5%, HST at 13% to 15%, or GST plus PST, RST or QST, and switches to CAD, Letter paper and YYYY-MM-DD dates.
  2. Fill in From with your business name, address and GST/HST No. In British Columbia, Saskatchewan, Manitoba or Quebec a second field appears for your PST, RST or QST No.
  3. Fill in Bill to with the client's name and address, then check the Invoice number, Date and Terms; the Due date follows the term you pick.
  4. Add Line items: Description, Qty, Unit and Rate. Untick a tax on any line that is exempt or zero-rated so the Totals block stays right.
  5. Add Payment details (bank account or e-transfer email) and Notes, then press Download PDF. Print and Email sit beside it.

What a Canadian invoice must show

There is no single federal invoice form in Canada, but the Canada Revenue Agency expects certain details on any invoice where GST or HST is charged, and the editor’s checklist follows them. Your business name and address come first, in the From block, with your GST/HST registration number if you have one; the label reads GST/HST No. because the preset is Canada. In British Columbia, Saskatchewan, Manitoba and Quebec a second identifier appears for your PST, RST or QST number, since those provinces run their own sales tax alongside GST.

Next come the invoice date and a unique invoice number. The preset formats dates as YYYY-MM-DD, which avoids day-month confusion, and the counter increments the number for you. The Bill to block holds the client’s name and address, plus a Tax ID field for business customers who want to claim input tax credits, the GST or HST a registered business recovers on what it buys.

Each line item needs a description, quantity and rate so the client can see what the tax was applied to. Under Totals, GST or HST must appear as its own line with the rate and amount, or you must state clearly that prices include it. Where the province charges PST, RST or QST, that tax is shown as a separate line too, never folded into GST. The preset does this by default: one HST line in Ontario and the Atlantic provinces, GST plus a provincial line in British Columbia, Saskatchewan, Manitoba and Quebec, and GST alone in Alberta and the territories.

The currency defaults to CAD and the paper to Letter, both changeable in Document settings. Presets are starting points — confirm current rates and requirements with your tax authority. The rates are defaults as of 2026-09-27 and can be edited.

Invoice generator Canada: how GST, HST, PST and QST work in the editor

The Province or territory picker is the only control most people need. Pick Ontario and the Totals block shows a single HST line at 13%; pick Nova Scotia and it reads 14%; New Brunswick, Newfoundland and Labrador and Prince Edward Island set 15%. Alberta, Yukon, Northwest Territories and Nunavut show GST at 5% and nothing else.

The four provinces with their own retail tax get two lines. British Columbia loads GST 5% and PST 7%, Saskatchewan GST 5% and PST 6%, Manitoba GST 5% and RST 7%, and Quebec GST 5% and QST 9.975%. Each line is calculated on the taxed subtotal independently, so a $100 sale in Quebec shows $5.00 GST and $9.98 QST. The compound flag on every tax line applies tax on top of tax where a rule requires it, but the Quebec preset leaves it off because QST is not compounded today.

Every line item has a checkbox per tax, so a zero-rated or exempt item can sit on the same invoice as taxable work. The tax-inclusive toggle back-calculates GST or HST from prices that already include it, which suits retail-style quotes. If a rate changes, type the new one and it stays for the next invoice on this device.

Your data stays on your device

Your Canadian invoices, including GST/HST numbers and client addresses, are created and stored on this device only, never on a server. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions

Do I need a GST/HST number to send an invoice in Canada?

No. Anyone can issue an invoice; the GST/HST No. field is for businesses that are registered. If you are registered, put the number on every invoice so business clients can claim their input tax credits. If you are not, leave the field empty and delete the GST line under Totals so the PDF never shows a tax you are not collecting.

What if I am not registered for GST/HST yet?

Many small businesses below the registration threshold invoice without charging GST or HST. In the editor, remove the tax line and leave GST/HST No. blank; the invoice then prints a subtotal and total only. Whether and when you have to register depends on your revenue and the kind of work you do, so check the Canada Revenue Agency's current rules.

Which tax do I charge a client in another province?

Place of supply rules decide which province's tax applies, and for many services that is the client's province rather than yours. Switch the Province or territory picker to the client's province before you download and the tax lines change to match. Selling into a PST province may need a registration there; confirm with that province's tax authority.

How do I show prices that already include tax?

Turn on the tax-inclusive toggle on the tax line. The editor works backwards from your prices, shows the GST or HST they contain and leaves the total unchanged, so a $113.00 Ontario price prints as $100.00 plus $13.00 HST. Clients still see the tax as a separate figure, which is what a registered buyer needs for their own return.

Is QST calculated on top of GST in Quebec?

Not with the current preset. QST is calculated on the price before GST, so the Quebec option loads GST 5% and QST 9.975% as two independent lines and each is worked out on the same subtotal. The compound flag stays available on every tax line for the rare case where tax on tax is the rule, but the preset leaves it off.

Which paper size and date format does the Canada preset use?

Letter, at 8.5 by 11 inches, the size Canadian printers expect, and dates as YYYY-MM-DD, the format the Government of Canada recommends. Both are defaults: switch to A4 under Paper size if you invoice clients overseas, or pick another date format, and the change shows in the preview immediately.

Can I invoice a US client in US dollars?

Yes. Change Currency in Document settings to USD and every amount, including the tax lines, is shown with the dollar symbol and the USD code. The province picker still works if GST or HST applies, or remove the tax lines for a sale outside Canada. Whether tax applies to an export is a question for your accountant.

How long should I keep copies of my invoices?

The Canada Revenue Agency generally expects businesses to keep records, including invoices, for six years from the end of the tax year they relate to; check its current guidance for your situation. Your invoices live in this browser, so use Export data from time to time to save a JSON backup, and keep the downloaded PDFs with your accounts.
