How to make a receipt in one minute

  1. Fill in Issued by with the landlord, business or organizer holding the deposit, and Received from with the person who paid it.
  2. Check the Receipt number and set the Payment date to the day the deposit arrived. Payment method is prefilled as Bank transfer; add the transfer reference under Payment reference.
  3. Edit the custom fields Deposit for (prefilled Security deposit) and Refundable (prefilled Yes, per lease terms) so they say what the deposit secures and the condition for its return.
  4. Change the line description and rate. For a booking deposit, set the line to the full price and enter the deposit under Amount paid so the Balance remaining shows.
  5. Update the Notes to name the lease, contract or order the deposit relates to, then press Download PDF.

What a deposit receipt should record

A deposit is money held against something that has not happened yet: a tenancy, a booking, an order. Its receipt has one job beyond an ordinary receipt: to state what the deposit is for and whether, and when, it comes back. This page is for landlords, businesses and organizers recording a deposit they actually received.

What it secures. The custom field Deposit for is prefilled as Security deposit. Change it to Booking deposit, Order deposit or whatever fits, and repeat the specifics in the line description; the sample reads Security deposit, 12 Maple Street, Apt 4 (refundable per lease), rate 1,450.

Whether it comes back. The Refundable field is prefilled as Yes, per lease terms. Keep the answer short and point to the document that sets the conditions. Non-refundable is a fair answer too, as long as it was agreed before the money was paid.

Which agreement it belongs to. The Notes are prefilled with “Deposit held in accordance with the lease agreement dated 1 October 2026.” Replace the date, or swap the lease for the contract or order number. A deposit receipt that cannot be tied to its agreement is hard to act on later.

When and how it was paid. Payment date, Payment method (prefilled Bank transfer) and Payment reference settle any later disagreement about whether the deposit was paid and when.

The balance, for booking deposits. When the deposit is part of a larger price, put the full price on the line and the deposit under Amount paid; the receipt shows the Balance remaining and holds back the Paid mark until it is cleared. For a security deposit that is the whole amount, the Paid mark prints.

How the deposit receipt template is set up

Replace both names, the property or order details, the amount, the date in the notes and the payment reference. If you also take the first month’s rent on the same day, issue it on a separate rent receipt: the two payments have different purposes and the deposit receipt should stand on its own. This security deposit receipt layout is a plain business receipt for money actually received.

Frequently asked questions

How should I state whether a deposit is refundable?

Use the Refundable field for a short, unambiguous answer and let the agreement carry the detail: Yes, per lease terms, or No, non-refundable booking deposit. If the condition is simple, such as a return period after the tenancy ends, repeat it in the notes. Say only what was agreed before the money was paid.

Do I have to give a receipt for a security deposit?

Many tenancy laws require a written receipt for a security deposit, and some specify what it must state, so check the rules where the property is. Beyond any requirement, a receipt showing the amount, date, property and payment method is what both landlord and tenant will want when the tenancy ends.

How do I show the balance still due after a booking deposit?

Put the full price of the booking or order on the line and enter the deposit under Amount paid. The receipt prints the deposit received and the Balance remaining, without a Paid mark. When the final payment arrives, duplicate the receipt and set Amount paid to the full price; the Paid mark then appears.

What is the difference between a deposit receipt and an invoice for a deposit?

An invoice for a deposit asks for it and gives a due date; a deposit receipt confirms it has been received. To request the deposit first, make an invoice from the home page, then use Mark as paid when the money arrives to create the receipt from the same details. If it is paid on the spot, the receipt alone is enough.

Should the deposit and the first month's rent be on one receipt?

Keep them separate. A deposit is held and may be returned; rent pays for a period and is not. Two receipts, each with its own number, make it clear which sum is which when the tenancy ends. Issue the rent receipt from the rent receipt template; both stay in Recent documents.
